Exam Conflict and Extended Time Proctor Service

Accommodations for make-ups and extended time are available exclusively for the dates listed in the table below. Any course can use them, provided the instructor and student agree, but no other dates will be covered.

Fall 2013 Evening Prelim Accommodations

A student scheduled to take two exams at 7:30 PM may take a MATH exam in the conflict room, then take a second exam at the regularly scheduled time and place. The extended time room is a quiet room for students with disabilities. Everyone starts at 7:00 PM with the ending time determined by each student’s accommodation (e.g., 150% time ends at 9:15 PM, 200% time ends at 10:00 PM).

Spring 2013 Final Exam Accommodations

A student scheduled to take two MATH finals during the exam period being covered may take both exams in the conflict room, with a 45-minute break between exams. Students with conflicts on other days must work them out themselves. The extended time room is a quiet room for students with disabilities. Everyone starts at 8:00 AM with the ending time determined by each student’s accommodation (e.g., 150% time ends at 11:45 AM, 200% time ends at 1:00 PM).

Making Arrangements With the Proctors

  1. Please check with your course czar or faculty supervisor (if applicable) to coordinate how your course will communicate the needs of your students to the make-up proctors. In some cases, individual instructors make arrangements. In others, the czar coordinates all arrangements.

  2. At least one day before the exam, email the proctor your name, the name/number of your course and the number of students you expect to take the exam in that proctor room. Separate arrangements must be made with each proctor.

  3. Put a copy of the exam and any test booklets needed in a sealed campus mail envelope, one envelope for each student. (Separate envelopes facilitate handing out exams ahead of time, so the students can begin their exams on time.) On the outside of each envelope, write the course number and the student's name. For students using the quiet room, please also indicate on the envelope the type of accommodation, e.g., 150% or 200% time.

  4. Put the exams in the appropriate proctor's Mathematics Department mailbox (532A Malott Hall) — by 4 PM on prelim dates or by 4 PM the day before the final exam.

  5. If announcements need to be made during the exam, send a runner with the message written on a piece of paper (one for each student). The proctor will hand the message to the student(s) to minimize disruption. Or if you are not able to send a TA during your exam, wait until the regular exam ends. (There will still be 45 minutes left in the extended group.)

  6. Unless you request other arrangements, the proctors will return your students' completed exams to the mailbox of the head TA (for MATH 1110, 1120, 1910, 1920, 2930, 2940) or the lead instructor (for MATH 1106, 1220, 1710, 2210, 2220). If you want the exam returned to you directly, you must write your name on the envelope.
